Position Overview: Accounts Receivable Specialist - Construction
Billing
We are seeking an experienced Accounts Receivable Specialist with a
strong background in progress billing and AIA (American Institute
of Architects) billing formats to join our accounting team. This
role plays a critical part in ensuring accurate, timely, and
compliant billing for construction and commercial contracting
projects, primarily in accordance with Division 8 and Division 10
scopes of work.
Key Responsibilities:
- Prepare, review, and submit monthly AIA billing applications
(G702/G703 forms) in accordance with contract terms and schedules
of values (SOV).
- Generate and manage progress billings for commercial
construction projects based on contract milestones, percentage of
completion, and change orders.
- Monitor and update contract billing schedules, track lien
waivers, retention, and other compliance-related
documentation.
- Collaborate closely with project managers, estimators, and
contract administrators to ensure accurate billing details, project
costs, and scope changes.
- Reconcile accounts receivable ledger to ensure all payments are
accounted for and properly posted.
- Communicate with general contractors and customers regarding
billing discrepancies, payment delays, and documentation
requests.
- Track payment applications, including retention release
timelines, and submit appropriate documentation to ensure timely
payments.
- Maintain accurate records of billings, contracts, submittals,
and waivers for audit and compliance purposes.
- Ensure billing and receivables processes comply with internal
policies, GAAP, and contractual obligations.
- Support monthly closing activities, including AR aging reviews,
bad debt analysis, and cash forecasting.
Required Skills & Qualifications:
- Minimum 3-5 years of AR experience in the construction
industry, with specific expertise in AIA billing formats and
progress billing.
- Proficiency in AIA forms (G702/G703), lien waiver processing,
and contract billing terms (e.g., retainage, change orders,
schedules of values).
- Familiarity with construction contracts (lump sum, cost-plus,
T&M, GMP) and how they influence billing methods.
- Strong knowledge of Comsense ERP is a plus
- High proficiency in Microsoft Excel (pivot tables, VLOOKUPs,
formulas) and document formatting for submittal packages.
- Exceptional attention to detail, with the ability to catch
inconsistencies in project data or contract billing terms.
- Excellent communication and coordination skills-must be able to
interact effectively with both internal teams and external
customers/GCs.
- Experience managing waivers, retainage tracking, and compliance
documentation (insurance certs, W-9s, etc.).
- Ability to read and interpret construction contracts, AIA
documents, and SOVs.
- Familiarity with certified payroll and prevailing wage
reporting is a plus.
Preferred Qualifications:
- Associates or Bachelor's degree in Accounting, Finance,
Business Administration, or related field.
- Experience in Division 8/10 commercial contracting is highly
preferred.
- Working knowledge of construction project management software
(e.g., Procore, CMiC) is a plus.
- Understanding of mechanics lien law, retainage rules, and
construction payment application cycles in Kentucky and surrounding
regions.
Work Environment & Schedule:
- Office-based position, Monday to Friday. This position is not
eligible for remote work.
- Must be able to meet billing deadlines tied to construction
project schedules (end-of-month pressure cycles).
